First things first, review your calendar and to-do list and write down your tasks and appointments within this grid.

Focus on doing the things that are both urgent AND important! Re-negotiate any tasks that fall into the other grid segments. Use the grid to re-prioritize your responsibilities and current tasks.

Assess the value and importance of tasks

Whilst plotting your schedule onto the time management grid, assess the value of each task. This is a good tactic in overcoming work overload. Ask, is this valuable to do right now?

Block calendar time

Often tasks take longer than we think. Be strict in blocking time out in your calendar. A colleague taught me early on in my career, to ensure I always block 1 hour for lunch in my calendar, otherwise, people will book you in for meetings. Ensure you have blocks of time for breaks and gaps in your calendar blocked out to help with time management.

Learn to say no

Warren Buffet is famous for saying “The difference between successful people and very successful people is that very successful people say no to almost everything”. Be firm, assertive and courteous in saying no. Tell them that you are too stretched.

Put the question to them

Using the time management grid above can be a useful way to visually show to others what your workload looks like. If someone doesn’t want to accept you saying no, put the question to them and ask them what they think should move out of your high importance, high priority grid box to make room for the task. What are they willing to re-prioritise?
